Accounts Receivable Billing Specialist Pay: $26-$35 per hour (DOE)

Key Responsibilities
Accounts Receivable & Billing (Primary Focus)
- Execute full-cycle accounts receivable processes with strong emphasis on invoice creation and billing accuracy.
- Generate and issue all customer invoices for construction projects-including time & material and lump-sum billing-based on approved contracts, time entries, materials, rates, change orders, and milestones.
- Ensure all invoices are complete, accurate, compliant with contract terms, prevailing wage requirements, sales tax rules, and retainage.
- Maintain detailed billing records, documentation, and supporting files.
- Identify and correct billing errors promptly to prevent delays or disputes.
- Monitor A/R aging and conduct timely follow-up on outstanding balances.
Customer, Vendor & Internal Support
- Respond promptly and professionally to inquiries from internal stakeholders, vendors, and customers.
- Work directly with customers to resolve billing discrepancies.
- Enter data into customer portals and prepare reports as needed.
- Support customer onboarding and maintain up-to-date customer records, including address/name changes, mergers, and attention-to details.
Job Costing & Project Closeout
- Verify accuracy of new job setups.
- Review contracts for billing requirements, prevailing wage information, location details, contract value, and compliance needs.
- Maintain and prepare time & materials labor billing rates.
- Complete required reporting for prevailing wage projects.
- Validate change orders, clean up cost reports, and perform job closeout tasks as needed.
Administrative & Continuous Improvement
- Maintain accurate digital documentation and files.
- Identify opportunities for process improvement and provide recommendations.
- Support internal and external audits.
- Help establish, update, document, and execute accounting policies and procedures.
- Perform additional tasks and support special projects as assigned.
What You Bring
Experience
- 3+ years of full-cycle accounts receivable experience in a high-volume, transactional environment.
- Must include strong hands-on experience in invoice creation and billing-accurate preparation, validation, and timely issuance of invoices.
- Construction industry A/R experience strongly preferred, especially involving:
- Progress billing (T&M and lump sum)
- Job cost accounting
- Change orders
- Retainage and retainage release
- Lien waivers
- Prevailing wage compliance
- Contract billing requirements
Education
- High school diploma or GED required
- Two-year accounting degree preferred
Skills
- Excellent accuracy, attention to detail, and ability to manage competing priorities in a fast-paced environment
- High proficiency with 10-key and data entry
- Strong communication skills and professionalism with all levels of stakeholders
- Organizational strength, time management ability, and self-motivation
- Analytical mindset with strong problem-solving skills
- Proficiency in Microsoft Office (Word, Excel, Outlook); Viewpoint Vista experience is a plus
